This article is written for Google Workspace Administrators.

With a service account and domain wide delegation in place, xFanatical Foresight can automate on behalf of the users in your Google Workspace organization without requiring their explicit sign-in and consent, e.g. xFanatical Foresight can automate creating company-wide Gmail labels for all your users and any new users.

Instructions

  1. Sign into xFanatical Foresight.
  2. Go to Settings > Security > Service accounts.
  3. Make sure the service account status is Ready.
  4. Go to the Rules page
  5. Create or edit a rule.
  6. On a trigger or action, click theActor field.
    • To Act as yourself, select your own Google account. In this case, the trigger or action uses your Google account's permissions instead of the service account's.
    • To Act as another user in your Google Workspace organization, select
      1. A specific user: Enter at least 3 characters of user name or enter email, then select them from the Domain users list.
      2. A user known only during automation: Select a variable that holds the user's primary email, such as User primary email.
    • If the Actor field reports missing permissions, hover on and follow the instructions mentioned.
  7. After the Actor field is set correctly without errors, save the rule.
  8. xFanatical Foresight runs automations on behalf of the selected users.

Notes

  • The selected user in the Actor field must be active, not suspended, archived or deleted, during the automation. Otherwise, the automation fails.
  • The selected users must belong to your organization's domain(s). xFanatical Foresight cannot automate on behalf of external users outside your organization.
  • If this Actor field is not available, the trigger or action does not support automation on other users in Google Workspace. Also, check whether you have the service account created.
  • Triggers and actions can set different users. In other words, xFanatical Foresight can run a multi-step IT workflow without each user's involvement, such as creating a folder in Alice's Drive, adding a label in Bob's Gmail, and deleting an event from Carol's calendar.
