Rule Creation Instructions
- Set up a Google Form for Leave Requests that captures essential leave details such as employee email, leave start date, leave end date, half day, leave type and reason for leave,
- Log in to your xFanatical Foresight account with your Google Admin account.
- Go to the Rules page and click the New Rule button.
- Select the Form Response Submitted trigger from the Select a Trigger screen.
- Choose the leave request form that will start this automation process. This will capture the details as the form submits.
- Next, you may need to grant permission to xFanatical Foresight in the Google Workspace account. Once the permission is successfully granted, you will see the status as Access granted.
- Click Next.
- On the Select an action screen, select the Get Form Response Info action.
- In this step, select the same form used in the trigger to capture submission data.
- Specify the Form Response ID to retrieve specific details from the form response.
- Then select Get User Info as Add Next Action.
- This action will extract the manager's email address, which will be used to notify them about the form submission.
- Finally select Email as Add Next action to send System Email to Manager and Other Recipients.
- Configure the email with the following details:
- To: Manager’s email (retrieved in the previous step).
- CC: The form submitter (employee), the applicant, and HR.
- Subject: Customize the subject line as appropriate (e.g., "Leave Request from [Employee’s Name]").
- Email Body: Use a template that auto-fills details from the form response, giving the manager complete details of the leave form.
- Sender Configuration:
- Set the sender as a system email, such as [email protected], with a display name like "HR Department."
- Configure the email with the following details:
- Click Review
- Enter the Rule name, click Create.

Result Verification
- Submit a Leave request form to trigger the rule.
- Look for the notification in the top right-hand corner and click on it.

Notes
- The employee must have a manager email set in Google Admin. Otherwise, the email will be sent to nowhere.
- The Google Forms must have a setting of Collect email of Verified, so that the employee’s leave request is genuine.
- Make sure you mark key questions as required in the Google Form.
- It’s better to set up the automation in the HR department.
- It’s also recommended to cc HR department group emails for system records.
- The From field in the Email action is optional but strongly recommended for professionalism.
