Rule Creation Instructions
- Design a Google Form for Job Application that captures essential job details such as name, contact details, email, desired position, resume upload via a file upload field and pre-screening questions.
- Log in to your xFanatical Foresight account with your Google Admin account.
- Go to the Rules page and click the New Rule button.
- Select the Form Response Submitted trigger from the Select a Trigger screen.
- Choose the job application form that will start the automation process. This will capture the details as the form submits.
- Next, you may need to grant permission to xFanatical Foresight in the Google Workspace account. Once the permission is successfully granted, you will see the status as Access granted.
- Click Next.
- Select Get form response info as Next action. In the Get form response info action, select the job application form again and select the Form response Id variable.
- (Optional) If your pre-screening questions and criteria are number-based, then you need to Extract data from text action. In the action, select the question's answer variable , select the target data type and enter the variable name. For example, the form has a multiple choice question "How many years of work experience in [skill]?" with choices 0, 1, 2, 3, 4, 5, 6 and 6 or more. The Extract data from text action setup is as follows.
- In the If action, it's critical to configure the condition correctly for unqualified candidates. If necessary, test sample submissions. For example, the form has 2 pre-screening questions, "Have you completed the Bachelor degree?" and "Number of years of work experience in [skill]. The criteria of qualification is Bachelor = Yes AND number of years of work experience in [skill] is between 1-3 years. The condition is that if the candidate does not have the Bachelor degree OR the candidate's work experience in [skill] is not between 1-3 years.
- In the Email action,
- In the To field, select the Respondent Email variable.
- In the Subject field, enter the pre-screening rejection email subject line.
- In the Email body field, enter the pre-screening rejection email template. Add the candidate's first name as a variable for personalization.
- (Optional) In the From field, type the xFanatical Careers <[email protected]> so that candidates will see this email address instead of your own email address.
- Click Review.
- Name the rule
- Click Create.
Rule Trigger
The rule will be triggered on job application form submission.
Result Verification
- Submit a Job application form to trigger the rule.
- Look for the notification in the top right-hand corner and click on it.
- Check the Logs page for details.
- Then, check the email notification and confirm that the respondent received an email notification.
